In a recent webinar, Lane introduced the Passport Fax app for Microsoft Teams, offering seamless fax integration within Teams. This app lets professionals send faxes using a traditional fax number or Address Book and supports attachments for flexible document sharing. Users can efficiently manage faxes with features like viewing statuses, handling inbound faxes, and organizing contacts. The app integration also allows for retrieval, email forwarding, and deletion of messages, offering streamlined fax management directly in Teams.

Whether you’re adding it to existing channels or creating new ones, this integration streamlines communication and document sharing directly within Teams. Here’s a quick rundown on setting it up.

Getting Started: Prerequisites

Before diving in, a few things need to be configured on the Passport Fax side:

  • Swap out `PassportClient.dll` for the PassportFax-specific version.
  • Update Internet Information Services (IIS) settings.
  • Install Passport REST messaging service.
  • Make sure Microsoft Visual C++ 2015-2022 Redistributable (x64) and .NET 8.0.8 (Windows Server Hosting) are installed.
  • Add PassportFax integration modules.

Teams Setup Steps

Work with your Teams administrator to enable the integration. For each Team and Channel using the app, you’ll need:

  • Team name (e.g., “Special Projects”).
  • Channel name (e.g., “General”).
  • Channel email address (generated by right-clicking the channel).
  • Email addresses and usernames of all channel members.

Configuring Passport

On the Passport system:

  1. Create a user for the channel (e.g., “generalsp” for the General channel in Special Projects). This user must have admin rights to allow for originator spoofing and will act as the department user.
  2. Once configured, Passport Fax will appear in the Teams channel, right next to “Notes.”

Features of the Integration

  • Access the address book to add new entries or select destinations directly in Teams.
  • Shortcuts and FAQs are built into the Teams interface for seamless usability.
